How does a new employee sign up for RESX?
Contact Nancy Charles via email (ncharles@carlsontravel.com) or via phone (1-800-322-7720 x284). Nancy will need the new employee’s full name in order to build them into the RESX system.
How do I login into RESX for the first time?
Log into carlsonconnected.com and click on "RESX," which is located by the picture of the mouse under the caption of Online Booking Tool. This will bring you to the login screen for RESX. Type in your assigned Company Name, tab to User Name which is first initial last name (i.e. John Smith would be jsmith), bypass Password by clicking on "LOGIN" and the system will prompt the user to create a password.
What if I forget my password?
Click the “Lost Password” link at the bottom of the login page. Complete the lost password pop-up box fields with your Last Name, E-Mail Address, and Company Name. RESX will immediately email the password to the email listed in the RESX profile.
I get an error message when logging in that my account is locked. How do I get it unlocked?
Contact Nancy Charles (1-800-322-7720 x284) and she will unlock it for you.
Once I login for the first time can I immediately begin booking travel?
No. You will want to complete your profile first. You will see on the upper right of your screen a bullet point that says PROFILE. Click on this and it will bring you into the Personal Information portion of the profile. Once all of the information is completed click “SAVE” to refresh your screen. Then click on “Travel Preferences” to complete this portion of your profile. Continue completing all seven areas of the profile.
How do I add my credit card as form of payment?
Click “PROFILE,” click “Billing Information,” and click “Add a New Credit Card.” Complete the required credit card fields and click “SAVE.” Make sure you click on the appropriate box to Use as "My Preferred.”
How do I add my membership numbers for air, car, and hotel frequent traveler programs?
Click “PROFILE.” Click “Membership Numbers.” Click "Add New …." for either air, car, or hotel. Select desired vendor from the list and enter membership number. Click “SAVE.”
Note: Hotel groupings can be found at the top of the drop down box. Individual chains can be found alphabetically.
How do I make reservations for a colleague in RESX?
Log into RESX as yourself and click on the "AIR" icon. On the left hand side of your screen you will see your name and underneath it the words "Planning for" with a drop down box. This lists all those for whom you have authorization to plan travel. If you do not see the “Planning for” and drop down box then you will need to contact Nancy Charles (1-800-322-7720 x284) and she will set you up as a travel planner. If you do not see the person you are planning travel for click on “Other Travelers” and RESX will ask for a Member ID (user name), OR First Name, OR Last Name. Type in one of the three and click on "NEXT." RESX will bring up a listing that meets what you typed in. Select the name of your traveler. If you do not see the name of the person for whom you want to plan travel, do one of the following: 1) have the person set you as travel planner for them in their profile section, OR 2) call Nancy Charles (1-800-322-7720 x284) to set you up as his or her travel planner.
How do I cancel a reservation?
Click “TRIPS & TEMPLATES." Click “Delete” next to the desired trip.
Ticketed airfare differs from what was booked in RESX, why?
Airfares constantly change, and the price is subject to change until the ticket is issued. If you did not purchase your reservation on the day you reserved it, this may account for the airfare difference. Many airfares require ticketing within 24 hours.
How can I reserve Southwest and JetBlue flights?
Click on "PROFILE." Click "Travel Preferences." Scroll down to Extended Options and check the “Search for Internet fares” box. Click "SAVE."
I get the error message “No preferred cc is set up for hotel” when I attempt to reserve a hotel. What does this mean?
Go to PROFILE>Billing Information>and either edit the existing credit card as a preferred for hotel or add a new card and show as preferred for hotel.
I need to research flights for my boss. Is there a way I can save what I have researched?
Yes. Once you have selected your travel itinerary (air, car, and/or hotel) you will see in the upper right of your screen the option to Save research. Click on "Save research" and this will bring you to a screen to name your research. Type in the name you want to give it and click “SAVE.” You will be brought back to your itinerary screen. Your research has been saved. Click "TRIPS & TEMPLATES" and under Trips you will see Trip Research and the name of the trip you saved. You will have the option to either view or delete the trip. When you click “View” it will bring you into the itinerary and you will have the option to reserve or purchase the itinerary.
Note: Saving as research does not reserve the itinerary or guarantee availability.
I have to make the same reservation for three different people; can I do this all at once without having to go into each individual?
RESX is set up to do each reservation individually, however you can complete one reservation and save it as a template to be shared with the other two individuals. Once you complete your trip selection for the first individual and click on “RESERVE ITINERARY” or “PURCHASE NOW” you will be brought back to your itinerary screen. Located at the upper right you have the option to Save as a Trip Template. Click on “Save as a Trip Template.” This will bring you to a screen which asks for a name. Click in the template name field and enter a unique name. Tab to the "Allow a Maximum Airfare" field and enter an amount or leave blank.
There are two types of templates: Personal (available to template user only) and Shared (available to all who are listed as a shared traveler in the creator’s profile. Click once in the “Shared” field and then tab in the box and type in the user names (i.e. ncharles) of those whom you wish to share the template with. Click "SAVE."
Now you are ready to make your next traveler's reservation. Click on TRIPS & TEMPLATES (upper right of page). Click “Templates.” Under "Planning for" select the individual for whom you are planning travel. When the screen is refreshed it should show the template you created under the template name. Under “Use” click on "Create Itinerary." When you reserve or purchase the trip double check that all the flights are exactly the ones you want. RESX will substitute the flights if the original flights are sold out.
I plan my employer's travel and I want to receive an itinerary once it is ticketed. How do I make this happen?
When completing your employer's profile put your email address in as a secondary under the Personal Information/Name section.
I made a reservation directly with an agent. How can I view that in RESX?
Ask your booking agent for the record locator (confirmation number) of the trip. In RESX click on "TRIPS & TEMPLATES." This will bring you to the Trip List. Where it says “Import a Trip” type in the record locator that your agent gave you and then click on "Import Trip." The screen will refresh itself and place the trip under the proper heading (pending trips or trip archives).
How can I get flight options for all day?
You will want to increase your time window option in your profile. To do this, click on “Travel Preferences” within the PROFILE section. Scroll down to Extended Options. The first option under extended options is “Time Window.” Click once on the pull down menu. You will want to choose 4 or more depending on the times you are looking for. RESX will search for flights that many hours before or after you are willing to leave.
I don’t see the outbound and return itinerary I want. How can I choose individual outbound and return flights?
Click on “View Flight Schedules,” located at the top of the screen. Your screen will be refreshed and you will see individual flights listed. The top half is the departures and bottom half is the returns. Click on the circle next to your desired departure and return. Now click on “Price Option.” Your screen will refresh with your options priced out. The hammer icon signifies this as a manually built itinerary. If you decide this is not a good price and want to price out other options, you may scroll down and modify your selections. Once you find the desired itinerary, click on “Select” off to the left of the itinerary.
I need to stay at more than one hotel for my trip. How do I do accomplish this in RESX?
When creating your itinerary and RESX asks if you want a hotel click “Modify Request” and complete the information for your first hotel stay. Once your itinerary populates click on “Add a Hotel.” Complete the information for your second hotel. Your itinerary will populate and you will see all of the hotels you have selected.
